Wellbeing

Who may see what, decided per row.

Most systems give wellbeing one permission and hope the staffing model does the rest. A relief teacher, a head of house, a counsellor and a parent need four different answers about the same child, on the same afternoon. This is how Kestrel gives them.

At a glance

Kestrel’s wellbeing module records merits, demerits, observations and incidents at a confidentiality tier the writer chooses, with counselling held under its own capability.

A tier the writer chooses

Merits, demerits, observations and incidents, each at the tier the teacher picks as they write.

Counselling on its own

Counselling notes are kept under their own capability, held by the wellbeing role.

What parents see

The merits and notes the school marked for parents, and each sanction they are told of.

Findings each night

Detentions without a roll, plans past review and NCCD evidence, gated by tier.

The wellbeing panel on Kestrel’s home screen, for the whole school: thirteen open concerns by kind — seven transition, three pastoral, two attendance and one behaviour — no detentions today, and no plans due for review this week.

Questions schools ask

Who can read a counselling note?

Counselling notes are kept under their own capability, held by the wellbeing role.

What do parents see?

A parent with standing to receive communications sees the merits and notes the school marked for parents, and each sanction the school tells them of, with its date.

Does Kestrel help with NCCD evidence?

Yes. Each night wellbeing flags students with no NCCD evidence or consultation recorded this year.

01

The entry, and the tier the writer chose.

A teacher records a pastoral entry on a student’s record: a merit, a demerit, an observation or an incident. The writer picks its tier as they write it. The person in the room is the one who knows whether what they just saw should travel.

What a relief teacher seesThat a restricted entry exists, and not what it says. The head of house and the wellbeing team read it. Hiding the row entirely would tell a relief teacher there is nothing to know, which is worse than telling them there is something they cannot read.
The kinds are yoursSet at /app/settings/entry-kinds. The head of wellbeing names each kind in the school’s own words, and says whether it records a merit, a demerit or an observation. They set the points the house ladder sums for it, and say whether a parent sees it. They also decide the order in which people are offered it. Kestrel ships a starting list; a kind you change becomes yours.
Retiring a kindNothing new is recorded under it, and the entries already recorded stand. A category that disappears and takes its history with it is how a school loses the evidence it will be asked for.
CorrectionsA wrong entry is voided by a later row, never edited away. One incident about several students is an entry for each, under one reference, and the head of house runs it as a case.
02

Counselling, under its own capability.

A counselling note is kept under its own capability, which the wellbeing role holds and no pastoral grant reaches, however senior.

What the counsellor hasThe Counselling section of the record and a caseload of their own. Notes are written from the school’s counselling templates, and a wrong one is withdrawn by a later row saying why.
What a head of house seesNo section. No counselling case on the case list. A refusal with a code on each endpoint.
Why it goes that farBecause that a note exists is itself the disclosure. A greyed-out panel reading “restricted” on one child’s record and not another’s tells a staffroom exactly what it was meant to withhold.

Child-safety records are kept for forty-five years. The clock runs from the child’s date of birth, not from the day the record closed, because that is when the person it is about can ask for it.

03

What a parent sees.

The family portal’s Wellbeing section shows a parent whose standing on the child grants communications the merits and the notes the school marked for parents. It also shows each sanction the school tells parents of, with its date.

It never shows a counselling note, a case, a restricted entry, or the reason a row was voided. That set is derived from the entry kinds you configured, not assembled by hand for each parent. So there is no screen where somebody can get it wrong for one family.

04

Sanctions, and the things that follow them.

DetentionIssued from the entry onto a sitting. Whoever supervises is emailed the day, the times, the campus and the students on the list, and emailed again each time that list changes. The version they printed on Tuesday is the one they will be holding.
SuspensionAttendance counts it as absent on each day it covers. No-one re-enters it on a roll.
House ladderMerits and demerits are summed over the timetable’s house memberships, so the ladder follows the timetable.
05

What the night raises.

Wellbeing contributes its own findings to the overnight read, and the morning list gates them by tier. A reader who cannot reach the record is not shown the finding about it.

A detention no-one took a roll forA sitting held on a day gone by that the student was not marked at. A student marked absent and a sitting no-one took a roll for both raise it. From the record they look the same, and both need a person.
A plan past its review dateRaised the morning after.
NCCD evidenceA student on the register with no evidence or consultation recorded this calendar year, once the adjustment or the year has run twenty-eight days. Not in the week the census is due.
